From Paperwork to Productivity: How Hampshire RFU Transformed Their Digital Operations

Running a large organisation means dealing with processes. Lots of them. And if you’re still relying on manual systems, spreadsheets and paper forms, you’ll know exactly how much time that eats up.

Hampshire Rugby Football Union found themselves in exactly this position. As the governing body for rugby across Hampshire, the Isle of Wight and the Channel Islands, they support around 45 clubs along with schools, colleges and universities. Everything from concussion reporting to disciplinary proceedings was paper-based.

The result? Bottlenecks everywhere. Hours wasted on data entry. Volunteers buried under admin instead of growing the sport.

Sound familiar?

When Your Platform Becomes Your Prison

Hampshire RFU’s problems started with their website. They were using Pitchero, a popular platform for sports clubs. For a small rugby club, it works fine. For a county governing body with complex workflows? Not so much.

They had virtually no control over design or functionality. The platform dictated what they could and couldn’t do. They were, in their own words, “hand-tied.”

But the real issue went deeper than aesthetics. Their entire operation was stuck in the past. Critical processes that should have taken minutes were taking hours. A youth concussion report, for example, required someone to manually contact the child’s parent, their school, the club’s welfare officer, Hampshire RFU staff and then send a confirmation back to whoever submitted the form.

One form. Five separate manual tasks. And that was just one of dozens of similar processes happening every week.

The Cost of Manual Processes

Most organisations don’t realise how much their manual processes are actually costing them. Not just in staff time, but in accuracy, compliance and strategic opportunity.

When your team is drowning in admin, they’re not thinking about growth. They’re not improving services. They’re just trying to keep up.

Hampshire RFU needed more than a new website. They needed a complete rethink of how they operated digitally.

when to redesign your website

Building Something Better

We approached the Hampshire RFU project as a digital transformation, not just a redesign. The first step was moving them away from their restrictive platform to something built specifically for their needs.

Then we worked with them to identify every time-consuming administrative process and engineered automated solutions for each one.

The concussion reporting system is a perfect example. What used to require multiple phone calls and emails now happens automatically. The form collects the data, determines who needs to be notified based on what’s been entered and triggers the right workflows without any human intervention. It even generates monthly and annual reports.

We did the same thing for their disciplinary system. Red card notifications, citings and fine payments all happen digitally now. Someone fills in a form, the system calculates the fine and they can pay it immediately. The whole thing is logged automatically.

Financial statements, tour approvals, event registrations. All the regulatory forms that used to sit in filing cabinets waiting to be processed are now handled by intelligent workflows that route information to the right people at the right time.

We also built them a dynamic clubs directory where individual clubs can update their own details through a moderated system. No more chasing people for information or maintaining massive spreadsheets.

The Results That Matter

Since launch, the platform has processed over 1,000 form completions. That’s hundreds of hours of manual work that simply doesn’t happen anymore.

The website has attracted over 8,000 unique visitors, proving that the modern design and improved user experience are working.

But the real headline? Hampshire RFU reported a 200% increase in productivity.

Think about what that means. Volunteers who were spending hours on paperwork can now focus on supporting clubs and growing the game. Staff who were buried in admin can work on strategy. The risk of human error has dropped dramatically. Compliance has improved.

They’ve gone from being held back by their systems to being empowered by them.

What This Means for Your Organisation

Hampshire RFU’s story isn’t unique to sports organisations. Every industry has businesses running on outdated systems, restrictive platforms and manual processes that shouldn’t exist in 2026.

The warning signs are usually obvious. You’re using spreadsheets for things that should be automated. Your team spends more time on admin than on their actual jobs. You’ve outgrown your current platform but haven’t made the move yet. People are frustrated because simple tasks take too long.

The good news is that solving these problems isn’t as complicated as you might think. It starts with looking at your business processes honestly and asking what could be better.

For Hampshire RFU, that meant replacing paper with intelligent workflows. For your organisation, it might be different. But the principle is the same. Technology should make your life easier, not harder.

Breaking Free

The hardest part is often recognising that your current setup isn’t good enough. Organisations get used to inefficiency. It becomes normal. “That’s just how we do things.”

Hampshire RFU could have stayed on Pitchero. They could have kept processing forms manually. Plenty of organisations do.

But they recognised that their platform and processes were holding them back. They wanted better. And they were willing to invest in making it happen.

The transformation didn’t just give them a nicer website. It gave them time back. It gave them control. It let them focus on what actually matters.

Is It Time for Your Transformation?

If you’re reading this and thinking “that sounds like us,” it probably is.

Manual processes might have worked five years ago. Your current platform might have been fine when you first launched. But businesses grow. Requirements change. What worked then doesn’t work now.

The question isn’t whether you need to change. It’s whether you’re ready to do something about it.

Hampshire RFU decided they were. The results speak for themselves.

If your organisation is being held back by restrictive software or time-consuming manual processes, we should talk. Because if we can help a county governing body automate complex regulatory workflows and boost productivity by 200%, imagine what we could do for your business.
